We are seeking a Senior Executive Assistant to join a fast-growing, award-winning, midsized organization dedicated to delivering innovative solutions in its industry.
Are you an experienced Executive Assistant who is ready to support executive leadership at the highest level? This dynamic role offers the opportunity to become a strategic partner to the CEO and COO, playing an integral role in driving organizational success. As a trusted liaison, you will ensure seamless communication and operations, manage complex calendars, facilitate high-level meetings, and coordinate events with precision. You’ll also proactively anticipate needs, offer solutions to enhance executive efficiency, and maintain confidentiality and discretion at all times.
Responsibilities
-Serve as the main point of contact for internal and external stakeholders regarding all matters involving the CEO and other senior leaders. -Manage complex and dynamic calendars, ensuring alignment with strategic priorities and business objectives. -Coordinate and facilitate high-level meetings by preparing agendas, materials, and follow-up documentation. -Draft, edit, and review correspondence, presentations, and reports on behalf of executives. -Represent the CEO and other senior leaders with professionalism and diplomacy during interactions with key stakeholders. -Coordinate and oversee large meetings and events, including venue selection, catering, and audiovisual requirements. -Plan and execute detailed domestic travel arrangements, ensuring seamless logistics and adherence to preferences, including large group travel management. -Streamline and improve administrative systems and processes to boost productivity and organization, including overseeing front desk operations and related roles. -Manage special projects and initiatives assigned by the CEO, COO or senior executive team members.
Desired Skills and Experience
-Over 10 years of experience providing executive-level administrative support, including a minimum of 5 years directly supporting C-suite executives. -Exceptional written and verbal communication skills, with the ability to craft clear, concise, and professional messaging. -Strong organizational and time management skills, with a keen eye for detail and the ability to prioritize effectively. -Proven ability to handle sensitive and confidential information with the utmost integrity and professionalism. -Advanced proficiency in Microsoft Office Suite and other productivity tools; experience with CRM and project management software is an asset. -Adept at representing senior executives with poise, confidence, and discretion in all interactions.
